Business details you provide, such as your name, business name, email address, phone number, phone type and provider.

Customer enquiry information captured when XMT handles a call or message on your behalf — typically a caller's name, phone number, location and a description of the job they need done.

Usage information about how your account and call handling are performing, so we can support and improve the service.

How we use information

To check whether your phone setup is compatible with XMT and to configure your call forwarding and call flow.

To answer calls, capture leads, send confirmations, handle messaging and manage booking requests for your business.

To provide support, respond to your enquiries and let you know about issues affecting your service.

How we share information

We use trusted third-party providers to deliver telephony, messaging, AI processing, scheduling and hosting. They only receive what they need to deliver those functions.

We do not sell your information or your customers' information, and we do not use it for unrelated advertising.

We may disclose information where required by law.

Your customers' information

Customer enquiry information is captured on your behalf. You remain responsible for how you contact customers and for handling their information appropriately once it reaches you.

Storage and security

Information is stored using reputable providers with access controls and encryption in transit. No system is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorised access.

Retention

We keep information for as long as your account is active, and afterwards only where needed for legal, accounting or dispute-resolution purposes.

Access, correction and deletion

You can ask us for a copy of the information we hold about your business, ask for corrections, or ask us to delete it. Contact us and we'll respond within a reasonable time.

Changes to this policy

We may update this policy from time to time. Where changes are significant we'll let account holders know.
